How to Run a Harambee Where Pledges Actually Get Paid (A Committee Guide)

Every harambee committee knows the gap: the number announced on the night and the number in the account two weeks later. People pledge loudly and pay quietly — and the treasurer's notebook, the M-Pesa statement and the MC's memory never agree. The fix is not more chasing. It's a system.

Why pledges leak

Three leaks, all structural. First, capture: pledges shouted across a room get misheard, misattributed or missed entirely. Second, reconciliation: cash, M-Pesa and bank payments land in different places, and matching them to pledges by hand takes the treasurer a weekend. Third, momentum: without a visible running total, the room never feels the target getting close — and the biggest predictor of a pledge is seeing others pledge.

The system that closes the leaks

1. Digital pledge capture. Guests pledge from their own phones (QR code, no app, works on 2G) or via a committee member with a tablet. Every pledge is recorded with a name and amount the moment it's made.
2. The thermometer on the big screen. A live progress bar climbing toward the target pulls the room with it. When it hits 80%, someone always stands up to close the gap — every committee has seen it.
3. Payment status per pledge. Each pledge tracks its payment — cash, M-Pesa reference, bank — so "pledged" and "paid" are never confused again.
4. Same-evening report. The committee leaves with a printable contributor list: who pledged what, who paid how, who to follow up — kindly, privately, accurately.
